What Is an Invoice?

Short answer

An invoice is a document a business sends to a customer to request payment for goods or services it has provided. It lists what was delivered, the amount owed, the due date and how to pay. Once paid, the invoice also serves as a record of the sale for both sides.

What an invoice does

An invoice has two jobs. First, it asks for payment: it tells the client exactly what they owe, by when, and how to pay. Second, it creates a record. You'll use your invoices to track income, see who still owes you, and back up your numbers at tax time. Your client uses them to approve spending and pay the right amount.

In the US, there's no single official invoice format for small businesses. What matters is that the invoice is clear, accurate and consistent. Most businesses include the same core details.

What's on a typical invoice

  • The word "Invoice" and a unique invoice number.
  • Your business name, address and contact info.
  • The client's name and billing address.
  • Invoice date and due date.
  • Line items: a description, quantity, rate and total for each product or service.
  • Subtotal, sales tax (if it applies), discounts or deposits, and the total due.
  • Payment terms and accepted payment methods.

Common types of invoices

  • Standard invoice: a one-time bill for completed work or delivered goods.
  • Deposit or upfront invoice: requests part of the price before work begins.
  • Progress invoice: bills for a portion of a larger project, common in construction.
  • Final invoice: bills the remaining balance after deposits or progress payments.
  • Credit memo: reduces what a client owes, for example after a return or billing error.

When to send an invoice

Send it as soon as the work is done or at the milestone you agreed on. For ongoing work, many businesses invoice on a regular schedule, such as the first of each month.
