Landscaping billing follows the seasons. Maintenance clients are billed per mowing visit or on a monthly or seasonal contract, spring and fall cleanups are one-time jobs, and installs like planting beds, sod or hardscape are priced by labor plus materials, often by the cubic yard, pallet or plant.

Materials and labor belong on separate lines. Mulch, soil and gravel are usually sold by the cubic yard, and in many states goods like plants and stone are taxed while some services aren't. For installs, send a quote first with the quote maker so the client approves quantities before delivery.

What to put on a landscaper invoice

Property address	Crews service many properties. The address ties the invoice to the right yard.
Service dates	Listing each mowing or visit date makes a monthly total easy to verify.
Materials with units	"Double-shredded hardwood mulch, 6 cu yd" is clear; "mulch" with a lump sum invites questions.
Labor or crew hours	For cleanups and installs, showing crew hours explains the labor charge.
Disposal and delivery fees	Haul-away and delivery charges are real costs. List them so they don't get disputed.
Contract period	For seasonal contracts, note which month of the agreement this invoice covers.

Billing tips

Bill materials by the unit you buy them in (cubic yard, bag, pallet, flat) so the math is easy to check.
For seasonal contracts, send equal monthly invoices and bill extras like cleanups or storm damage separately.
Note skipped visits for rain or drought on the invoice so clients don't wonder why a week is missing.

Should I bill mowing per visit or monthly?

Per-visit billing is fair when the number of mowings varies with the weather. A flat monthly rate is easier to budget for clients and smoother for your cash flow. Either way, list the visit dates on the invoice.

How do I invoice mulch and stone?

Bill by the cubic yard (or ton, for some stone) with the quantity and price per unit, and put installation labor on a separate line. That separation also helps if your state taxes materials but not labor.

Do landscapers charge sales tax?

It varies by state. Plants, mulch and stone are often taxable, and some states also tax lawn care services. Check your state's rules or ask an accountant.

How do I handle seasonal contracts?

Divide the season or year into equal payments and invoice monthly, noting the contract period on each one. Anything outside the contract, like a tree removal, goes on its own line or its own invoice.
