What plumbers invoice for

Service calls and repairs
Bill the trip fee plus the repair: a leaking supply line, a running toilet, a clogged main. Most are due on completion.
Emergency and after-hours work
Show the after-hours or weekend rate as its own line, so a 2 a.m. burst pipe bill doesn't look like a pricing mistake.
Water heater and fixture installs
Separate the unit, the parts kit, labor, haul-away of the old unit and any permit fee.
Property managers and landlords
Include the unit number, tenant contact and work order number so the invoice can be approved without a phone call.

What to put on a plumber invoice

Field	Why it matters
Service address	Especially for landlords and property managers who own several properties.
Service call or trip fee	Covers the drive and diagnosis. Listing it separately explains why a quick fix still has a minimum.
Labor: flat rate or hours	Say which. "Replace wax ring (flat rate)" or "Labor, 1.5 hrs" are both clear; a lump sum isn't.
Parts with quantities	Customers want to see what went into their home, and parts may be taxed differently than labor.
After-hours surcharge	If the call came in nights or weekends, the surcharge should be visible and match what you quoted on the phone.
Work order or PO number	Property managers and commercial customers often require it to process payment.

Billing tips

Tell the customer your service call fee and after-hours rate on the phone, then use the same wording on the invoice.
If you mark up parts, fold it into the unit price rather than adding a separate markup line. It's standard practice and much easier to read.
Invoice before you leave the job. Same-day payment is normal for residential plumbing and far easier to collect.
Keep saved items for your most common repairs so you're not typing the same descriptions and prices every day.

Should plumbers charge a service call fee?

Most do. It covers drive time and diagnosis, and it's often credited toward the repair if the customer goes ahead. Whatever your policy is, state it before you roll the truck and show it on the invoice.

Flat-rate or time and materials: which is better on an invoice?

Flat-rate pricing gives the customer a known price per task and is simple to invoice. Time and materials is fairer for unpredictable work like tracing a hidden leak. Many shops use flat rate for common repairs and T&M for everything else.

Do I charge sales tax on plumbing parts?

In many states, parts are taxable and repair labor may or may not be, but the rules vary widely and some states tax contractors differently. Check with your state revenue department or accountant.
