Design projects usually run in phases: discovery, concepts, refinement and final files. Most designers take a deposit to start, bill the rest at milestones or on delivery, and include a set number of revision rounds, with extra rounds billed separately. Scope creep is the biggest threat to a design budget, and the invoice is where you make it visible.

Rights matter too. For logos and brand work, clients usually expect full ownership once the final invoice is paid. For illustration or photography-style work, you might license usage instead. Say which on the invoice so there's no confusion about what the payment covers.

What to put on a designer invoice

Revision rounds	State how many were included and how many were used. Extra rounds should be their own line.

Rights and licensing	Say when ownership transfers (for example, on payment in full) or what the license covers.
Payment terms	Designers often hold final files until the invoice is paid. Put that on the invoice if it's in your contract.

Billing tips

Take a deposit before any design work starts. It confirms the client is committed and covers early phases.
Put the number of included revision rounds in your proposal and on your invoices, so extra rounds are expected, not a surprise.
Tie rights transfer to payment in full, and state it on the final invoice.
Hold final source files until the invoice is paid, if your contract allows it. It's one of the most effective payment incentives you have.

How much deposit should a designer charge?

Many designers ask for somewhere between a third and half of the project fee up front, but it's your call. Larger or longer projects often split the rest across milestones.

How do I bill for extra revisions?

Define the number of included rounds in your proposal, then bill each extra round as a separate line at a flat rate or hourly. Let the client know before you start an extra round.

When should copyright transfer to the client?

A common approach is to transfer ownership of final deliverables once the final invoice is paid in full, and to keep rights to unused concepts. The details belong in your contract, and for high-stakes work it's worth having an attorney review it.

Should I charge sales tax on design work?

Rules vary by state. Some tax certain digital products or printed materials, while many don't tax design services themselves. Check your state's rules or ask an accountant.
