Photography billing has more moving parts than it looks. A wedding might start with a non-refundable retainer to hold the date, then a balance due before the event, then add-ons like a second shooter, an album or extra hours. Commercial work adds usage licensing: how, where and for how long the client can use the images.

Clear line items prevent most disputes. Put the session date and location on the invoice, list what's included (hours of coverage, number of edited images, delivery method), and state the license terms for commercial clients. If you quote packages before booking, the quote maker is a good place to start.

What to put on a photographer invoice

Session date and location	Clients book months ahead. The date and venue on the invoice make it easy to match to their booking.
Retainer paid	Show the retainer as received so the balance due is obvious and nobody pays twice.
Deliverables	"Approx. 400 edited images via online gallery" sets expectations and heads off questions later.
Usage license terms	For commercial work, the license defines what the client is paying for. Put the scope on the invoice, not just in an email.
Travel fees	Mileage or travel beyond your included radius should be its own line so it doesn't look like a surprise.
Balance due date	Many photographers require the balance before the event. Make the due date explicit.

Billing tips

Take a retainer to hold the date and state in your contract whether it's refundable. Repeat that on the retainer invoice.
For commercial clients, bill usage separately from the creative fee. It makes pricing easier to explain and renew.
Set the balance due before the event, not after delivery. Chasing payment after the gallery is delivered is much harder.
Physical products like prints and albums may be taxable in your state even when services aren't. Check your state's sales tax rules.

How much should a photography retainer be?

Many photographers ask for somewhere around a quarter to half of the package price, but there's no standard. Pick an amount that covers the risk of turning away other bookings for that date, and put the terms in your contract.

Should I charge sales tax on photography?

It depends on your state and what you're selling. Some states tax photography services, others only tax prints and physical products, and digital delivery is treated differently from place to place. Check your state's rules or ask an accountant.

What should a usage license on an invoice include?

At minimum: which images, where they can be used (web, print, ads), for how long, and in what region. Say whether the license is exclusive. Your contract has the full terms, but the invoice should summarize what was paid for.

How do I show the retainer on the final invoice?

Note the retainer amount and the date you received it, either as a header field or in the notes, and state the remaining balance. That way the client can see at a glance what's already been paid.
